TERMS & CONDITIONS

On - Line Registration

Participants must sign up for an account on the on-line registration system to start process. We kindly ask you to give the full and correct information in the required fields. These informations will be used for all communications, badge printing, invoice etc.

Group Registration

Over 10 Participants – 25 Euro discount per person
Over 30 Participants – 50 Euro discount per person
Over 50 Participants – 75 Euro discount per person
Over 100 Participants – 100 Euro discount per person

Discounts are valid for only Full Congress Registration and can not be applied during onsite registration. Deadline for group registration is September 5th, 2025.

Category Notes

To be eligible for the discounted rate for Developing Countries, participant must reside in one of the Least Developed Countries as listed by the Organisation for Economic Co-operation and Development (OECD) Development Assistance Committee (DAC) – see here for a listing of eligible countries (those in the first column only). Participants must provide their passports before picking up the name badge.

Students must provide "proof of student" (transcript, copy of a current student identification card, or letter signed by head of department) before picking up the name badge.

The “Accompanying Persons” category is for spouses, friends, and significant others who are NOT professionals in the field of beekeeping and are joining a full paid congress registrant.

Payment

Only Mastercard and Visa type credit cards are accepted. Bank transfer payment is available, all bank charges for remittance must be paid by the registrants. Receipt can be downloaded from the on-line registration system after the payment is confirmed by the Registration Team

Registration Confirmation

An automatic confirmation e-mail will be sent to the participant upon completion of registration payment. With the barcode on this confirmation form, participants will be able to print their badges in the congress center.

Cancellation of Registration / Refund

Until August 29th, 2025, 17.00 CET %25 Administration Charge
After August 29th, 2025, 17.00 CET No Refund

Notification of cancellation must be made in writing and sent to the Apimondia 2025 Congress Secretariat by email. The refunds will be made after the Congress. Should a delegate not attend the congress, for whatever reasons, no further claims for reimbursement or waiving of fees can be made.

Visa

If you need a visa for Denmark, you will need to apply the local Danish consulate, Embassy or visa office. It is recommended you start the Visa process latest 3 Months before the Congress.

Please note that No cancellation fee will be applied if a participant can not travel because of a rejected VISA application. Official document of rejected visa has to be presented to Congress Secretariat until September 1st, 2025.

Name Changes

Name changes only in exceptional cases, at a cost of 25.-Euro. Written permission from the original participant will be required in order to process an individual name change. A new registration form for each replacement participant will be required before the name change can be processed.

Deadline for name changes is September 5th, 2025

Insurance

The congress is not responsible for any bodily harm or loss of property that may occur at the site of the congress. Attendees should consider purchase of a travelers medical coverage policy. The congress is also not responsible for any cancellations of airline tickets. Attendees should consider trip cancellation insurance. These insurances can be purchased from private vendors.

Health Condition

Attendees agree that they are able to function on their own at the time of the congress. The congress cannot assume responsibility for caring for attendees or for assisting them in navigating around the congress.

Admittance

The congress reserves the right to deny admission to any applicant.

Lost Badges

A fixed price of 25.-Euro will be charged for the replacement of lost badges.

Liability and Insurance

Registration fees do not include the insurance of participants against personal accidents, sickness and cancellations by any party, theft, loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodation, cancellation and personal effects. Congress organisers cannot accept liability for personal injuries sustained, or for loss or damage of property belonging to meeting participants, either during, or as a result of the meeting.
